Main Tasks:
- Assist in organizing an annual plan of office administration and implement the plan accordingly.
- Assist in whole logistic and procurement for the project activities, including the office set-up.
- Assist in finance and accounting work, namely, collecting quotations from service provider for price comparison, filing accounting slip, keeping accounting books and checking its records.
- Assist in drafting and translating official and documents and letters, when necessary.
- Interpret in Khmer-English in conferences, meetings, and site visits, when necessary.
- Organize equipment and materials in the office and arrange the purchase of equipment and materials for office and project activities.
- Maintain office equipment, library and inventories with their lists.
- Support and arrange logistics for conference/meetings, visitors and other administrative matters.
- Assist in data management and PR activity for the project, including publication of newsletters, organizing and storing the project data into fixed folders by monthly.
- Keep compliance of office matters and checking enforcement of regulation.
- Support JICA experts to collect information and communicate with outside agencies on the administrative matters.
- Engage in tasks which JICA long/short-term expert assigns to Administrative Assistant, as necessary.
- Act actively under supervisions of JICA Experts to contribute to the project.
Other duties:
- In order to implement the tasks efficiently and effectively, Administrative Assistant needs to report the progress, provide the necessary information and consult the procedures and any problems to the JICA expert (Project Coordinator) in a timely manner.
- Administrative Assistant needs to submit monthly activity reports, documents requested by the Project Coordinator.
- Administrative Assistant shall treat all information about the Project, its members and stakeholders confidential during and after the period of this contract. It is strictly forbidden from conveying any information about the above to third parties.
- Bachelor's degree in Business Administration, Management, Public Relation or related fields would be of an advantage
- Professional experience working for international organizations would be a strong asset
- Native tongue in Khmer and excellent speaking, reading and writing ability in English
- Good knowledge of computer (Ms. Office, Internet and Email)
- Ability to work well in a team and independent
- Ability to deal with people of cross-cultures
- Strong listening, communication, presentation, interpretation, social skills and time management.
