The Admin Operations Supervisor is responsible for overseeing HR operational support, office and facilities management, insurance administration, company event logistics, and supervision of support staff, ensuring smooth daily operations and a professional working environment.
Support Staff Supervision
- Supervise front desk staff, cleaners, and drivers.
- Prepare duty rosters, schedules, and task assignments.
- Monitor attendance, punctuality, and discipline.
- Provide daily supervision and operational guidance.
Front Desk & Office Operations
- Ensure professional front desk operations and visitor management.
- Maintain a welcoming and organized office environment.
- Coordinate meeting room usage and office logistics.
Facilities, Cleaning & Workplace Safety
- Ensure office cleanliness, hygiene, and maintenance standards.
- Supervise cleaning schedules and quality of work.
- Coordinate with vendors, landlords, and service providers.
- Support workplace health, safety, and operational compliance.
Driver & Transportation Management
- Manage driver schedules and vehicle assignments.
- Monitor vehicle usage, fuel consumption, and maintenance.
- Ensure compliance with company rules and road safety regulations.
- Coordinate transportation for staff, management, and company events.
Insurance Administration
- Manage employee insurance enrollment, updates, and renewals.
- Act as liaison between employees, insurance providers, and HR management.
- Support employees with insurance claims documentation.
- Maintain accurate insurance records and confidentiality.
Company Event & Activity Logistics
- Coordinate logistics for all company events, including training, meetings, workshops, and staff activities.
- Arrange venues, catering, equipment, transportation, and setup.
- Coordinate support staff for event preparation and execution.
- Monitor operational costs related to events.
Admin Operations Support
- Support onboarding and offboarding logistics (workspace, access cards, uniforms, asset return).
- Maintain operational records related to attendance, insurance, and logistics.
- Implement HR policies and instructions at operational level.
Key Performance Indicators (KPIs)
- Attendance and discipline of supervised staff
- Office cleanliness and service standards
- Timeliness of insurance administration and claims support
- Effectiveness of company event logistics
- Transportation efficiency and safety compliance.
Education
- Bachelor’s degree in business administration or related field preferred.
Experience
- 3–5 years of experience in office operations, administration, or facilities management.
- At least 1–2 years of supervisory experience.
Skills & Competencies
- Strong people supervision and coordination skills
- Good organizational and problem‑solving abilities
- Hands‑on, service‑oriented mindset
- Proficient in MS Word, Excel, and email.
