Responsibilities and Duties

Executive Assistant Duties:

  • Calendar Management: Proactively manage and schedule the CEO’s calendar, prioritizing meetings, travel, and commitments.
  • Correspondence Management: Handle incoming and outgoing communications, including emails, phone calls, and meeting requests, on behalf of the CEO.
  • Travel Coordination: Plan and organize domestic and international travel arrangements, ensuring all logistics are seamless.
  • Meeting Preparation: Prepare agendas, materials, and presentations for meetings, taking minutes and tracking action items during meetings.
  • Document Management: Assist with the preparation and review of reports, presentations, and other documents for executive review.
  • Office Coordination: Ensure the CEO’s office operates efficiently, including maintaining supplies, managing administrative tasks, and acting as a liaison with other departments.

Business Project Management:

  • Project Coordination: Oversee and manage multiple business projects simultaneously, ensuring they are completed on time, within scope, and within budget.
  • Stakeholder Communication: Serve as the main point of contact between the CEO, key internal teams, and external stakeholders for ongoing projects.
  • Timeline & Budget Management: Develop detailed project timelines, allocate resources, and monitor project expenses to ensure alignment with organizational goals.
  • Risk Management: Identify project risks and work with relevant teams to develop mitigation strategies and ensure successful outcomes.
  • Reporting: Provide regular updates and reports on project progress, including key milestones, challenges, and deliverables, to the CEO and senior leadership team.
  • Process Improvement: Identify opportunities for improving business processes related to project management and the executive’s workflow.
Qualifications and Skills
  • Education: Bachelor’s degree in business administration, Management, or a related field (preferred).
  • Experience: 3+ years of experience as an Executive Assistant, Project Manager, or similar role in a fast-paced environment.
  • Project Management: Proven experience managing and coordinating business projects, with knowledge of project management methodologies (e.g., Agile, Waterfall).
  • Communication: Exceptional written and verbal communication skills, with the ability to interact with senior leadership and external stakeholders.
  • Organization: Strong organizational and multitasking skills, with the ability to prioritize effectively.
  • Tech Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), project management tools (e.g., Asana, Trello, MS Project), and other office software.
  • Problem-Solving: Strong critical thinking and problem-solving skills, with the ability to work under pressure and meet tight deadlines.
  • Discretion: Ability to handle sensitive and confidential information with discretion.
