The Facilities & HSE Officer is responsible for ensuring the smooth operation, maintenance, and safety of the organization’s facilities while implementing and monitoring Health, Safety, and Environmental (HSE) standards. This role involves managing building services, coordinating repairs and preventive maintenance, and ensuring compliance with local regulations and company policies related to workplace safety and environmental sustainability.
Building Maintenance and Repair
• Manage stock and maintenance tools, and equipment
• Contract negotiation and renewal
• Monitor and execute the maintenance plan in accordance with the schedule
• Complete stakeholder requests in line with the SLA
• Manage vendors and contractors within the building premises
• Regularly inspect the building and MEP systems to ensure operations
• Oversee and coordinate renovation or decoration works
• Propose and execute cost-saving strategies
• Monitor team and vendor performance
Health Safety and Environment
• Implement the HSE strategy.
• Prepare reports on accidents and incidents.
• Monitor and ensure that all safety equipment is in good condition and functioning properly.
• Facilitate training sessions, such as first aid, fire drills, and other safety-related courses.
• Analyse risks and potential hazards and conduct preventive or mitigation actions.
• Stay updated with regulations related to HSE (Health, Safety, and Environment).
Security Management
• Manage security guards’ daily performance and attendance
• Record and report any suspicious activities
• Work with 3rd parties to monitor and give feedback on the security guards
• Conduct training for security guards
• Manage visitors/guests and property in/out
• Ensure overall building security and spot check the CCTV camera
Payment Process and Budget Control
• Process payment based on the company policy
• Monitor the budget and record all expenses under the facilities department
• Ensure payments are processed to the vendor on time
• Bachelor of Engineering or Administration
• 2-3 years’ experience in engineering or administrative-related.
• Good English proficiency
• Be able to use MS Office
