- Greeting and Welcoming Visitors: Receptionists create a positive first impression by warmly welcoming clients, patients, or guests and directing them to the appropriate person or department
- Managing Communications: They answer phone calls, respond to emails, relay messages, and provide information about the organization
- Scheduling and Appointments: Receptionists maintain calendars, schedule meetings or appointments, and send reminders to prevent conflicts
- Administrative Support: Duties include data entry, filing, photocopying, managing mail, and maintaining office supplies
- Maintaining Reception Area: Ensuring the front desk and waiting area are clean, organized, and presentable is a key part of the role
- Communication Skills: Strong verbal, written, and listening skills are essential for interacting with visitors and staff
- Organizational Abilities: Receptionists must manage multiple tasks efficiently, including scheduling and administrative duties Technical Proficiency: Familiarity with office software (e.g., Microsoft Office, scheduling systems)
- Experience: Proven work experience as a Receptionist, Front Office Representative or similar role.
