This role reports directly to the Operations Director, and plays a pivotal role in providing comprehensive executive, administrative, and development support to the OD. This key position serves as the primary point of contact for all internal and external constituencies regarding matters related to OD.
He/she acts as a crucial liaison to senior management teams across the Dynamic Advanced Group, orchestrates and coordinates executive outreach and external relations efforts, and oversees significant special projects, ensuring seamless operations and strategic alignment.
- Calendar Management: Organize and manage the OD’s calendar, ensuring awareness of appointments, meetings, and deadlines, including necessary rescheduling.
- Communication Management: Act as the primary point of contact, screen communications, and ensure important messages reach the OD promptly, handling emails, calls, and correspondence.
- Meeting Coordination: Prepare agendas, take minutes, and ensure the OD has all necessary information and documents for meetings.
- Travel Coordination: Organize detailed travel plans, including flights, accommodations, transportation, and itineraries, ensuring smooth logistics.
- Document Management: Review and manage important documents, reports, and presentations, maintaining confidentiality.
- Project Management: Assist with special projects, track progress, and ensure deadlines are met, coordinating with various departments and stakeholders.
- Confidentiality: Handle sensitive information discreetly and maintain confidentiality in all matters.
- Administrative Support: Perform administrative tasks such as filing, data entry, and office organization to ensure smooth office operations.
- Problem Solving: Anticipate the OD’s needs, address issues proactively, and make decisions to minimize disruptions to the OD’s schedule and responsibilities.
- Relationship Management: Build and maintain relationships with key contacts, stakeholders, and team members to facilitate smooth communication and collaboration.
- Bachelor's degree in administration or a related field
- Experience supporting C-suite executives
- Proven track record of handling complex schedules and communications
- Microsoft Office Proficiency, Calendar and Scheduling Management, Document Preparation, Project Management, Database Management, Communication Tools
- Proficient in English
- High degree of professionalism in dealing with diverse groups, including high-ranked officials, senior executives, staff, and community leaders
- Enthusiastic and comfortable working in dynamic environments
- Initiative-driven, accountable, and able to handle stress effectively
