Job Summary

The Assistant Manager of Building Operations supports the General Manager in overseeing the day-to-day operations of the building. This includes managing general maintenance, amenities, tenant services, asset management, MEP and electrical systems, contractor coordination, and event support. The role requires the ability to independently manage building functions with support from the in-house team and external technical service providers.

Responsibilities and Duties
  • Oversee daily building operations, including maintenance and repair of physical assets,
  • safety systems, and technical infrastructure.
  • Supervise and coordinate with contractors providing services such as cleaning,
  • security, AC maintenance, electrical generator maintenance, pest control, parking
  • management, and others.
  • Ensure all building operations are conducted in compliance with company policies,
  • internal standards, and applicable government regulations.
  • Implement and manage the approved operating budget for building assets, FF&E
  • (furniture, fixtures, and equipment), repairs, utilities, and service contracts. Conduct
  • regular cost reviews to identify opportunities for increased efficiency.
  • Ensure that all contracted work is completed to agreed standards; promptly follow up
  • on any deficiencies.
  • Conduct monthly building audits to assess operational conditions, identify potential
  • issues, and recommend improvements. Ensure compliance with all safety and security
  • standards.
  • Manage periodic asset audits and maintain accurate inventory records of FF&E.
  • Prepare regular reports on property condition and asset status.
  • Ensure full operational readiness and compliance for all mechanical, electrical,
  • emergency, and plumbing systems. This includes, but is not limited to, septic systems,
  • submersible and booster pumps, fire-fighting systems, ATS, emergency lighting, smoke
  • alarms, and electrical generators.
  • Lead the response to tenant and visitor complaints or service requests. Ensure all
  • inquiries are acknowledged within 12 hours, with resolution provided within 24 hours
  • (non-technical issues) or 48 hours (technical issues).
  • Prepare and submit timely monthly reports for General Manager review, including but
  • not limited to: daily operations logs, electricity consumption, parking usage, overtime
  • reports, and contractor service/attendance summaries.
  • Manage building key boxes, including performing routine audits to ensure security and
  • accountability.
  • Lead or assist in emergency response and incident management when needed.
  • Provide operational support for on-site events as required.
  • Building SOPs, policies, and workflow (smooth implementation, assistance with
  • consistent review and updates)
  • Budget implementation
  • Technical problem solving (problem diagnosis, proposal of solutions, minimizing
  • recurring problems)
  • Maintenance and repairs (consistent implementation, consistent quality of work,
  • qualitative feedback from team, contractor)
  • Team engagement (qualitative feedback)
  • Tenant, visitor and contractor engagement (qualitative feedback, solving problem
  • on-time and per quality standards)
Qualifications and Skills
  • Bachelor’s degree in a related field.
  • Minimum of 3 years’ experience in facility or building operations management,
  • preferably in a mixed-use or commercial property setting.
  • Strong understanding of building systems, including MEP (Mechanical, Electrical,
  • and Plumbing), safety systems, and compliance with relevant regulations.
  • Demonstrated leadership skills and experience in managing contractors and
  • service providers.
  • Excellent organizational, reporting, and problem-solving abilities.
  • Proven ability to respond effectively to operational issues and emergencies.
  • Strong communication and interpersonal skills, with the ability to interact
  • professionally with tenants, vendors, and team members.
  • Must pass a comprehensive background check and meet certification
  • requirements prior to employment.
  • Professional demeanor with a positive attitude and a strong work ethic.
  • Willingness and ability to work flexible hours, including evenings and weekends as
  • needed.
