The Senior Admin & HR Executive is responsible for managing daily HR operations and office administration functions, including recruitment, payroll coordination, employee relations, office management, company policies/SOPs, and administrative support.
This role plays a key part in recruitment, employee experience, office management, and operational coordination, contributing to overall organizational efficiency and growth.
HR Operation (30%)
- Manage end-to-end recruitment process: sourcing, screening, interview coordination, offer, and onboarding.
- Prepare employment contracts, job descriptions, and HR policies.
- Maintain employee records and HR database.
- Manage onboarding and offboarding procedures.
- Monitor employee attendance, leave records, and overtime.
- Handle employee relations and disciplinary procedures.
- Support performance evaluation and annual appraisal process.
- Ensure compliance with labor laws and company policies.
- Coordinate training programs and employee development
Payroll & Compensation (15%)
- Prepare monthly payroll data (attendance, leave, overtime, allowances).
- Coordinate with Finance for payroll processing.
- Manage employee benefits:
- Social insurance
- Health insurance
- Allowances (transport, fuel, phone, etc.)
- Maintain payroll records and HR reports.
- Support personal income tax (PIT) declarations.
Office Administration & Facility Management (20%)
- Manage office supplies, equipment, and office maintenance.
- Manage office leases, utilities, and service contracts.
- Supervise drivers, office assistants, cleaners, and security staff.
- Organize company events, meetings, and travel arrangements.
- Manage & maintain company assets.
- Maintain office policies and procedures.
- Ensure office operations run smoothly.
Regulatory & compliance support (10%)
- Support documentation for company licenses and permits.
- Assist regulatory work with administrative paperwork and submissions.
- Support warehouse and logistics administrative documentation.
- Maintain document control and company records.
- Coordinate with internal teams and external parties.
Documentation & Compliance (15%)
- Maintain HR records, company documents, licenses, and contracts.
- Ensure compliance with labor laws, company policies, and administrative procedures.
- Support audits and compliance checks when required.
- Ensure company complies with labor law and internal policies.
- Support internal audits and external audits.
- Maintain confidentiality of HR and company information
Reporting & Process Improvment (10%)
- Prepare HR and administrative reports for management.
- Identify inefficiencies and propose improvements to HR and office processes.
- Perform other tasks assigned by management.
- Bachelor’s degree in Human Resources, Business Administration, or related fields
- At least 2-3 years of experience in HR, Administration, or Operations roles
- Good communication and problem-solving skills.
- Experience in handling both HR and office administration is preferred
