Job Summary

The Administrative Supervisor is responsible for overseeing and coordinating all administrative activities across all branches of the company. This role ensures smooth communication, efficient office operations, compliance with company policies, and effective support for HQ and branches’ staff.

Responsibilities and Duties
  • Ensure that the facility is fully operational with all utilities functioning properly, Oversee maintenance of facilities and equipment.
  • Ensure work quality and adherence to established policies and procedures.
  • Coordinate small/large scope capital projects along with improving maintenance processes across the network. HQ and all branches.
  • Schedule and supervise maintenance repair work and assist with checking installation and servicing building equipment.
  • Assist in determination of solutions if there are interruptions in service of utilities.
  • Support the planning and administration of supply chain capital budgets.
  • Supervise administrative staff, drivers and cleaners.
  • Manage and prepare the petty cash for all admin and IT expenses.
  • Develop and implement administrative procedures and best practices.
  • Ensure consistency in administrative processes for HQ and all branches.
  • Managed office supplies procurement and inventory.
  • Maintain stock levels and operation materials within budget
  • Arrange for office furniture, fixtures, and fittings as needed.
  • Coordinate with vendors for repairs, cleaning, and security services.
  • Oversee security of buildings and grounds.
  • Manage leasing agreements for branch office spaces and equipment.
  • Coordinate with landlords and vendors for rental and leasing issues.
  • Ensure timely rent payments and lease renewals.
  • Oversee the management of company vehicles across branches.
  • Schedule maintenance, repairs, and insurance for vehicles.
  • Maintain records of vehicle usage, fuel, servicing, and related expenses.
  • Monitor maintenance schedules and costs to optimize operations.
  • Prepare administrative and operational reports for management review.
  • Analyze workflows and suggest improvements for efficiency.
  • Ensure proper handling of confidential information.
  • Ensure all branches adhere to legal, safety, and corporate policies.
  • Stay updated on relevant regulations affecting administrative, safety, and operational activities.
  • Maintain ongoing communication with contractors, clients, and team.
  • Organize arrangements for traditional Festivals, Chinese New Year, and Khmer traditional prayers according to the seasonal schedule.
  • Oversee the maintenance of accurate records, files, and documentation.
Qualifications and Skills
  • Bachelor Degree in Business Administration, or related field.
  • Highly preferred for applicants from automotive industry
  • At least 5 years of experience in facility management, maintenance, with 1-2 years in team lead
  • Good command of computer literacy (Microsoft office)
