Job Summary

To provide comprehensive HR and administrative support to expatriate staff and visitors, including handling visa processes, transportation arrangements, accommodations, meeting room bookings, expense management, and coordination with suppliers and the finance team.

Responsibilities and Duties
  • Coordinate and monitor visa applications, renewals, and work permit processes for expatriate staff.
  • Maintain updated records of visa and work permit statuses to ensure timely renewals.
  • Provide orientation and assistance to new expatriate staff regarding company policies, local regulations, and living arrangements.
  • Act as the main contact point for expatriate staff for HR and administrative queries.
  • Arrange transportation for expatriate staff and official visitors, including company vehicles or external providers.
  • Coordinate vehicle usage schedules and ensure vehicles are maintained and available when needed.
  • Book hotels or other accommodations for official visitors and ensure cost efficiency.
  • Manage meeting room bookings and ensure rooms are prepared with necessary equipment and supplies.
  • Greet and assist visitors, ensuring their requirements are met during their stay.
  • Prepare and submit monthly expense reports related to expatriate support, vehicle usage, hotel bookings, and other supplier services.
  • Process payment requests, reimbursements, and supplier invoices in coordination with the finance team.
  • Maintain accurate records of expenses for reporting purposes.
  • Prepare claims reports and submit them promptly.
  • Assist with HR processes such as onboarding, mentoring, and ongoing support for expatriate staff.
  • Liaise with suppliers to ensure smooth service delivery and timely payments.
  • Maintain confidentiality and security of HR-related information.
  • Support other HR and admin functions as assigned by management.
Qualifications and Skills
  • Bachelor’s degree in Human Resources, Business Administration, and/or a related field.
  • 2–3 years’ experience in HR and/or administration, preferably with expatriate staff support.
  • English / Khmer
