Job Summary

The Senior Accountant & Operation Executive is responsible for managing accounting activities while ensuring smooth daily operations of the company.

This role combines financial control, reporting, and operational coordination, supporting cross-functional teams to ensure compliance, efficiency, and sustainable business operations.

Responsibilities and Duties

A. Accounting & Financial Management

  • Record daily accounting transactions (AP, AR, expenses, bank, journal entries).
  • Prepare bank reconciliation and account reconciliations.
  • Monitor accounts payable and accounts receivable.
  • Prepare payment vouchers and payment schedules.
  • Issue sales invoices and receipts.
  • Maintain proper accounting documentation and filing.
  • Assist in month-end and year-end closing.
  • Prepare accounting schedules: Inventory, Prepaid expenses, Accrued expenses, Fixed assets
  • Assist in preparing financial reports.
  • Support tax filings (VAT, Withholding Tax, Corporate Income Tax).
  • Support external audit and tax audit.

B. Inventory control

  • Record and monitor stock movement and inventory balances.
  • Coordinate with warehouse, distributors for stock receiving and delivery.
  • Perform inventory reconciliation and stock count.
  • Monitor batch numbers and expiry dates.
  • Support product costing and inventory valuation.

C. Sales & Distribution Operations

  • Monitor receivables, follow up on outstanding payments, and manage aging reports.
  • Process and verify payments to vendors, customer, partners.
  • Ensure proper documentation and timely payment cycles.
  • Work closely with Sales team on payment terms and debt collection.
  • Prepare sales orders and delivery documents.
  • Issue sales invoices to distributors, hospitals, pharmacies.
  • Coordinate shipment and delivery schedules.
  • Monitor customer orders and deliveries.
  • Maintain sales and distribution records.

D. Operation & Administration

  • Manage office supplies, equipment, and office maintenance.
  • Manage end-to-end recruitment process.
  • Maintain employee records and HR database.
  • Manage onboarding and offboarding procedures.
  • Monitor employee attendance, leave records, and overtime.
  • Handle employee relations and disciplinary procedures.
  • Support performance evaluation and annual appraisal process.
  • Ensure compliance with labor laws and company policies
  • Supervise drivers, office assistants, cleaners.
  • Organize company events, meetings, and travel arrangements.
  • Manage & maintain company assets.
  • Maintain office policies and procedures and ensure office operations run smoothly.

E. Regulatory & compliance

  • Support documentation for company licenses and permits.
  • Assist regulatory work with administrative paperwork and submissions.
  • Support warehouse and logistics administrative documentation.
  • Maintain document control and company records.
  • Coordinate with internal teams and external parties.

F. Reporting & Process Improvement

  • Coordinate with customers/ distributors for regulatory compliance, registration and shipment of products.
  • Maintain proper documentation, contracts, and records.
  • Perform other tasks assigned by management.
Qualifications and Skills
  • Strong analytical and numerical skills
  • Attention to detail and accuracy
  • Proficiency in Excel and accounting systems
  • 3–5 years experience in accounting and operations
  • Bachelor’s degree in Accounting, Finance, Business Administration, or related field.
  • Experience in pharmaceutical or healthcare companies is a plus
  • Knowledge of inventory accounting and logistics operations.
  • Familiar with accounting software / ERP systems
  • Good health
  • Responsible, careful, and high integrity
  • Proactive and problem-solving mindset
  • Willing to take ownership and support multiple functions
