Job Summary

This role is responsible for data accuracy, order tracking, and compliance with company procedures and supports the sales team by managing sales documentation, processing orders, and ensuring accurate and timely paperwork. This role also helps maintain smooth sales operations through effective coordination with internal departments and customers.

Responsibilities and Duties

• Support sale team in preparing quotations for customers.

• Collect purchase orders from sale team and ensure it is consistent with quotation and costing.

• Prepare purchase requisition and follow up purchase order and payment to vendors.

• Follow up supply chain team for shipment arrangement, good receiving and update to sale team.

• Prepare Invoice, delivery note, sample, consignment and other documents as needed.

• Prepare required document to create new customer account/ supplier/products in system.

• Communicate/collaborate with sales team on customer request, complaint, requirement etc.

• Support sale team to prepare sale contract as needed.

• Update sale report and other related report on a timely basis.

• Check and update the inventory to sale team as needed.

• Coordinate with registration team for import license and other legal affairs.

• Communicate with warehouse team to arrange delivery schedule with sale team.

• Process cash advance and clear expense with relevant team for checking and approval.

• Support in ISO documents and implementing process.

• Perform other related tasks as assigned by management.

• Comply the company policy, rules & regulation, corporate direction, mission, objectives.

How to Apply

• Bachelor’s degree of Business Administration, Accounting, Management, or equivalent.

• Fresh graduate or at least 1 year experience in administrative job

• Strong knowledge base within administrative field

• Fluently use of computer and Office Software

• Interpersonal skill, professionalism, and hospitality skill

• Good command in both written and spoken English

• Hardworking and patient

• Result oriented and ethical attitude

• Flexible and can work under pressure

• Be independent, professional, confidential and objective
