The Operations Coordinator is responsible for ensuring the smooth and efficient functioning of the operations team for Division LTU in Cambodia. This role will provide comprehensive administrative, logistical, and operational support.
Administrative Support
- Manage schedules, meetings, and communications for the operations team.
- Maintain accurate records, databases, and filing systems.
- Prepare reports, presentations, and documentation as needed.
Travel Coordination:
- Coordinate travel arrangements for LTU Division employees and visitors from overseas to Cambodia, including sourcing the best travel options and maintaining detailed itineraries.
- Liaise with travel agents and relevant authorities to process visa applications promptly and accurately; ensure all documentation is prepared and submitted on time.
- Arrange point-to-point pick-up/drop-off, local transportation, and car rentals as required; coordinate with drivers and service providers to ensure punctual and safe travel for all visitors.
- Reserve hotels and other accommodations based on traveler preferences and company policies; monitor and confirm all bookings and resolve any issues if they arise.
- Manage travel and accommodation expenses, ensuring accurate record-keeping.
Operational & Office Coordination
- Oversee office management tasks, including monitoring and ordering supplies.
- Act as the point of contact for facilities coordination to ensure a safe and efficient work environment.
Compliance & Reporting
- Ensure adherence to company policies, procedures, and relevant regulatory requirements.
- Track and report on key operational metrics to support management decision-making.
Team & Project Support
- Provide support to cross-functional projects and initiatives.
- Serve as a primary point of contact for internal teams and external stakeholders on operational matters.
- Assist with the onboarding and orientation process for new team members.
- 2+ years of experience in travel coordination, office administration, or operations support.
- Strong communication skills in English; proficiency in Chinese is an advantage.
- Excellent organizational and multitasking abilities.
- High attention to detail and problem-solving skills.
- Ability to work independently and collaboratively in a multicultural environment.
- Prior experience dealing with Cambodian travel regulations and logistics is desirable.
