The Procurement and Supply Chain is responsible for managing the procurement process and controlling inventory levels to ensure efficient and cost-effective operations. This role involves sourcing and purchasing materials, managing supplier relationships, and maintaining optimal stock levels to support organizational needs. The key typically associated with this role includes:
Procurement Management:
- The Procurement is responsible for developing procurement policies, procedures, and strategies that align with the organization's goals and objectives.
- Sourcing: Identify and evaluate potential suppliers for goods and services.
- Negotiation: Negotiate terms, prices, and contracts with suppliers to secure favorable terms.
- Purchase Orders: Create, issue, and manage purchase orders in accordance with company policies.
- Establish and maintain relationships with suppliers, negotiate contracts, and monitor supplier performance.
- Procurement requires staying up to date with market trends, pricing, and new products or services in order to make informed purchasing decisions.
- Analyze market conditions and identify potential cost-saving opportunities.
Managing the procurement process:
- Record-keeping and reporting: Manage accurate procurement documentation, including purchase orders, contracts, and supplier information.
- Support QS under the construction team for requests for proposals (RFPs) or quotations (RFQs), evaluating bids or proposals, and making recommendations for awarding contracts.
Compliance and Risk Management:
- Manage procurement-related risks, such as supplier bankruptcies, delivery delays, or quality issues.
- Adhere to legal and ethical standards, including ensuring fairness, transparency, and compliance with procurement regulations and internal policies.
- Be responsible for conducting due diligence on suppliers to ensure compliance with social and environmental standards.
Inventory management:
- The Stock Controller is responsible for monitoring and managing the organization's inventory levels. This includes maintaining accurate records of stock levels, conducting monthly stock counts, and identifying discrepancies or variances.
- They monitor stock levels and generate purchase orders or requisitions to replenish stock as needed and highlight to the manager.
- Stock receiving and inspects the quality and condition. Highlight any discrepancies or damages and coordinate with suppliers or relevant parties for resolution.
- Stock storage and organization: Ensure our warehouse and inventory inside stock is stored safely, securely, and in an organized manner. Monitors stock expiry dates and implements rotation strategies (FIFO)
- Preparation of a monthly report in order to provide insights and recommendations to management regarding the warehouse and stock of inventory moment.
General Support & Collaboration:
- Work closely with various stakeholders, such as suppliers, sales teams, delivery men, and technical teams in order to ensure smooth stock operations, address any issues or concerns, and optimize stock levels based on business requirements.
- Holding a stock controller role in systems to track, monitor, and manage stock efficiently.
- Holding the Purchasing role in systems to manage procurement-related risks, manage accurate procurement documentation, including purchase orders, contracts, and supplier information.
- Prepare Monthly procurement reports to management, highlighting key metrics, cost savings, and other relevant data.
- A Bachelor’s degree in Supply Chain Management, Business Administration, or equivalent in a relevant field.
- At least 1 year of experience in procurement, inventory management, or a related field.
- Good understanding of procurement tools such as e-procurement systems, vendor management systems, and contract management systems.
- Strong analytical and negotiation skills to evaluate supplier proposals, negotiate pricing, and contract terms.
- Technical Skills: Proficiency in procurement and inventory management software (e.g., SAP, Oracle) and Microsoft Office Suite (Excel, Word).
- Excellent communication skills (verbal and written) to clearly articulate procurement procedures and requirements to both internal stakeholders and suppliers.
- Negotiation Skills: Strong negotiation skills with the ability to secure favorable terms and pricing.
- Organizational Skills: Excellent organizational and time management abilities to handle multiple tasks and priorities.
- Problem-Solving: Proactive approach to identifying and resolving issues related to procurement and inventory.
- Demonstrated ability to ensure compliance with procurement regulations and policies.
- Ability to work well under pressure and meet deadlines in a fast-paced environment.
- Proficiency in using technology and software such as inventory management systems, Excel, and other relevant applications.
- Ability to work independently and as part of a team, collaborating effectively with colleagues to achieve common goals.
- Willingness to learn and adapt to new technologies, inventory management strategies, and industry trends.
