Job Summary

To supervise and coordinate all purchasing, logistics, and invoicing activities to ensure uninterrupted business operations, cost-effective procurement, timely deliveries, accurate invoicing, and compliance with company policies and procedures. The role is responsible for supplier performance management, cost optimization initiatives, inventory support, logistics coordination, and the supervision of personnel involved in procurement and logistics functions.

Responsibilities and Duties

Purchasing & Procurement Management

  • Plan, coordinate, and supervise procurement activities to ensure the timely availability of materials, equipment, supplies, and services required by the business.
  • Review and evaluate supplier quotations, pricing structures, and commercial terms before submitting recommendations for management approval.
  • Lead sourcing initiatives for local and overseas suppliers to achieve competitive pricing, quality, and service standards.
  • Conduct supplier negotiations to secure favorable pricing, payment terms, and delivery conditions.
  • Implement procurement strategies and cost-reduction initiatives to improve overall purchasing efficiency.
  • Ensure purchasing activities are conducted in accordance with approved budgets, company policies, and internal controls.

Supplier Performance & Relationship Management

  • Identify, evaluate, qualify, and develop new suppliers to support operational and strategic requirements.
  • Lead supplier audits, performance reviews, and corrective action follow-ups.
  • Monitor supplier performance based on quality, delivery, responsiveness, compliance, and cost competitiveness.
  • Develop and maintain strong supplier relationships to ensure long-term supply continuity and reliability.

Logistics & Supply Chain Coordination

  • Supervise inbound and outbound logistics operations to ensure the efficient movement of materials, equipment, and goods.
  • Coordinate transportation, shipping schedules, customs requirements, and delivery arrangements to minimize disruptions and delays.
  • Monitor logistics performance indicators and implement improvement actions to enhance service levels and cost efficiency.
  • Ensure compliance with company requirements and applicable regulations related to logistics activities.

Invoicing & Documentation Control:

  • Supervise invoice verification processes to ensure alignment between purchase orders, delivery records, supplier invoices, and supporting documentation.
  • Coordinate with Finance and suppliers to resolve discrepancies related to pricing, quantities, delivery, or payment terms.
  • Ensure timely submission and processing of invoices to support efficient payment cycles.
  • Maintain accurate procurement, logistics, and invoicing records for traceability, audit readiness, and reporting purposes.

Team Leadership & Supervision:

  • Supervise and provide guidance to personnel engaged in purchasing, logistics, invoicing, and material coordination activities.
  • Allocate tasks, monitor performance, and ensure departmental objectives are achieved.
  • Coach, train, and develop team members to enhance capabilities and productivity.
  • Foster a culture of accountability, collaboration, and continuous improvement within the team.

Reporting & Continuous Improvement:

  • Prepare and present procurement, logistics, supplier performance, and cost-saving reports to management.
  • Analyze procurement and logistics data to identify trends, risks, and improvement opportunities.
  • Recommend process improvements to strengthen operational efficiency, service quality, and cost management.
  • Support strategic supply chain initiatives and cross-functional improvement projects.
  • Perform any other duties and special assignments as directed by management.
Qualifications and Skills

Qualifications:

  • Bachelor’s degree in supply chain management, Logistics, Procurement, Business Administration, or a related field.
  • Minimum 5 years of experience in purchasing, logistics, procurement, or supply chain operations, with at least 2 years in a supervisory role.
  • Experience in supplier management, procurement negotiation, and logistics coordination.
  • Strong understanding of purchasing procedures, inventory management, and invoicing controls.
